We’re excited to announce a significant update to how you experience your referral admin area. We’re in the process of rolling out a custom dashboard branding system across all our client sites, designed to make your daily workflow simpler, cleaner, and more intuitive.
What’s Changed?
When you log in now, you’ll notice a refreshed dashboard that feels a bit more like a tool built specifically for you. We’ve stripped away the clutter and unnecessary elements that most users never touch, leaving you with a streamlined workspace that focuses on what matters.
The centrepiece is our new Overview widget. For our referral forms, you’ll now see at a glance how many submissions you’ve received, which ones need attention, and even which entries are approaching their expiry dates. No more clicking through multiple pages to check on your forms – it’s all right there on your dashboard.
We’ve also added a news feed that keeps you updated with the latest from Valident, so you’re always in the loop about new features, tips, and company updates.
Built Around Your Needs
This isn’t just about making things look prettier (though we think it does look rather good). It’s about reducing friction in your day-to-day tasks. Every change we’ve made comes from listening to how you actually use the system and removing the obstacles that were getting in your way.
The best part? This update happens automatically in the background. There’s nothing you need to do, learn, or change about how you work. Just log in and enjoy a more pleasant, efficient experience.
As always, if you have any questions or feedback about the new dashboard, we’d love to hear from you. We’re constantly looking for ways to improve your experience with our platform.
If you’ve ever tried to refer a patient to another practice, you’ll know how frustrating it can be when you’re not sure who offers what, where they’re based, or which specialist you actually need. Now imagine managing that complexity across dozens of locations with hundreds of different treatment options. It’s enough to make anyone’s head spin.
We’ve been working on something that makes this whole process remarkably straightforward, and we’re rather excited to share it with you.
Why Traditional Referral Forms Don’t Work Anymore
Let’s be honest: most dental referral forms are a nightmare. You’re presented with endless dropdown menus, scrolling through alphabetical lists of every single clinician in the network, trying to work out which combinations actually exist in the real world.
Picture this scenario: you need to refer a patient for a specific dental procedure. The form shows you 50 clinicians and 30 practices, but you have no idea which clinician works where, or whether the practice you’re choosing actually offers the treatment you need. You make your best guess, submit the form, and hope for the best. Days later, you find out the referral couldn’t be processed because that particular specialist doesn’t work at that location. Sound familiar?
A Better Way Forward
Our new system works differently. Instead of showing you everything and leaving you to sort it out, it guides you through the options based on what’s actually available. It’s a bit like having a knowledgeable colleague sitting next to you, telling you exactly what your options are at each step.
Start by choosing a practice, and the form instantly updates to show only the treatments available there. Pick a treatment first? No problem – you’ll see which practices offer it. Select a particular clinician, and you’ll see where they work and what they can do. The form adapts to how you think, not the other way round.
How It Works in Practice
Let’s say you’re referring a patient for root canal treatment. You might approach this in several ways:
Starting with location: Perhaps your patient lives in Manchester. Select the Manchester practice first, and you’ll immediately see that they offer endodontic treatments. Choose ‘root canal therapy’ from the now-filtered treatment list, and you’re presented with the three specialists who perform this procedure at that location. Simple.
Starting with the specialist: Maybe your patient specifically wants to see Dr Smith because their neighbour had a great experience. Select Dr Smith first, and the form shows you she works at practices in Birmingham and Nottingham. Choose Birmingham, and you’ll see the treatments she offers there.
Starting with the treatment: You know you need orthodontic treatment but you’re flexible on location. Select orthodontics, and instantly see all the practices offering this service, along with the specialists available at each one.
The beauty is that you can’t go wrong. Every combination the form allows is a valid referral that can actually be fulfilled.
The “Any Available” Option
Sometimes you just need to get a patient seen quickly and don’t mind which specialist handles the case. We’ve built in an “any available clinician” option for each treatment type. It’s particularly useful for routine procedures or when waiting times are your primary concern.
Keeping Things Organised
Dental treatments naturally fall into groups and subgroups. Our system respects this structure, making it easier to find what you’re looking for. Instead of one massive list of treatments, you might see main categories like ‘Restorative Dentistry’ or ‘Oral Surgery’, with specific procedures nested underneath. It’s organised the way practitioners actually think about treatments, not just thrown together alphabetically.
For Practice Administrators: Taking Control
Behind every smooth referral is a well-organised administrative system. We’ve built a comprehensive management dashboard that puts administrators in complete control without requiring a degree in computer science.
What Administrators Can Do
Add new practices, update contact details, or mark locations as temporarily unavailable – it’s all straightforward. You can manage your entire treatment catalogue, organising services in a way that makes sense for your network.
Managing your team of clinicians is equally simple. Add new specialists, update their availability, or specify which procedures they’re qualified to perform. The system keeps track of who works where and what they can do, so the forms always reflect current reality.
The clever bit is how you connect everything together. Through an intuitive interface, you can specify relationships: this practice offers these treatments, this clinician works at these locations, this specialist performs these procedures. Change these relationships, and your referral forms update instantly.
Keeping Data Clean
As organisations grow, information comes in from various sources – old databases, spreadsheets, different practice management systems. Duplicates creep in: the same clinician listed twice with slightly different names, treatments that are essentially the same thing described differently.
We’ve built tools to spot these duplicates and merge them sensibly, preserving all the important relationships while cleaning up the mess. It’s like having a very patient assistant who goes through everything and tidies it all up.
Moving Data In and Out
Nobody wants to re-enter hundreds of records by hand. You can import your existing data in bulk, and export it whenever you need it for other systems. It’s your data – you should be able to work with it however suits you best.
What This Means for Real Practices
The impact of getting referrals right goes beyond mere convenience. Patients end up at the right place first time, reducing delays in treatment. Referring practitioners spend less time on administration and more time with patients. Reception staff field fewer confused calls about misdirected referrals.
One practice manager told us they’ve cut referral-related queries by more than half since implementing the system. Another mentioned that their referring GPs actually thank them for making the process so straightforward.
Built for Growth
Whether you’re managing three practices or thirty, the system grows with you. Add a new location? It appears in the forms immediately. New treatment option? Add it once, and it’s available wherever you specify. Bring on a new specialist? They’re integrated into the system straight away.
The technical bits – the database optimisation, the real-time updates, the responsive design that works on phones and tablets – all happen quietly in the background. Users just experience forms that work properly.
Coming Soon to More Practices
We’re currently rolling this out to selected practices, fine-tuning based on real-world feedback. The response has been brilliant – practices are finding it transforms not just their referral process but their entire approach to managing multi-location operations.
Could This Work for You?
If you’re wrestling with any of these challenges, we should talk:
- Managing referrals across multiple locations
- Coordinating between various specialists and departments
- Dealing with complex treatment hierarchies
- Struggling with inaccurate or incomplete referrals
- Spending too much time sorting out referral confusion
This isn’t just for large practice networks. Whether you’re a group of dental practices that’s recently merged, a growing specialist network, or any healthcare organisation dealing with complex referral patterns, this could make a real difference.
Let’s Talk
Getting referrals right shouldn’t be this hard. If you’re tired of wrestling with unwieldy forms and confused referral patterns, get in touch. We’d love to show you how this works and discuss how we might adapt it for your specific needs.
Every practice works differently, and that’s fine. This system is flexible enough to match how you actually operate, not force you into a one-size-fits-all solution.
Interested in simplifying your referral process? Drop us a line to arrange a conversation about your current challenges and how we might help solve them. No hard sell, just a friendly chat about making life easier for everyone involved in the referral process.
Dental referrals are a key part of patient care — but how they’re managed can vary dramatically between practices. While email might feel quick and familiar, it’s often not the most effective or secure method for handling sensitive patient information.
If your practice is regularly referring for treatments like endodontics or orthodontics, a structured referral system isn’t just a nice-to-have — it’s essential.
The risks of relying on email
Email is convenient. But it comes with real challenges when used for clinical communication:
- Lack of structure – Emails often miss important details or include them in inconsistent formats
- Security concerns – Standard email is not encrypted by default, putting patient data at risk
- Miscommunication – Without a standard form, it’s easy to overlook key clinical information
- No tracking – You can’t always tell if the referral was received or actioned
- No validation – There’s nothing stopping a referral from being submitted incomplete
These problems are particularly noticeable in more complex referrals, such as endodontics or orthodontics, where detailed background, imaging, and clinical notes are often required.
Why endodontic and orthodontic referrals need more care
Referrals for specialist treatments are rarely straightforward. An endodontic referral may need radiographs, a detailed account of symptoms, previous treatment history, and an assessment of restorability. Orthodontic referrals often require age, occlusion notes, clinical observations, and long-term treatment goals.
Trying to include all of this in a freeform email — or as an attachment to one — leaves a lot of room for things to go wrong.
A structured referral system ensures that nothing is missed, and that every referral is clear, complete, and ready for action.
The benefits of a dedicated referral platform
A separate system for handling referrals offers real, measurable advantages:
- Structured forms tailored to the referral type
- Mandatory fields to reduce missing information
- Secure, encrypted submission for full GDPR compliance
- Confirmation and tracking so you know when referrals are received
- Centralised records for auditing and patient history
This approach not only improves efficiency, it raises the standard of care — and makes your practice more professional and responsive.
Valident: a smarter way to refer
At Valident, we offer dedicated referral forms for a wide range of treatments, including:
- Endodontics – with fields for symptoms, previous history, and supporting documents
- Orthodontics – capturing all relevant clinical details, attachments, and treatment goals
- CBCT and general referrals – with customisation options as needed
Our platform ensures that every referral is complete, secure, and sent to the right place — without relying on unsecured email or inconsistent attachments.
More than just a form
Valident also supports:
- Secure messaging between practices
- Custom workflows for internal or external referrals
- Analytics and logs to monitor referral patterns and follow-up
It’s everything you need to modernise how your practice handles referrals — while protecting patient data and saving valuable time.

As CBCT (Cone Beam Computed Tomography) imaging becomes more widely used in dental diagnostics, the referral process needs to keep up. Whether you’re a general dentist referring for implant planning, endodontic assessment or orthodontic work, a clear, accurate CBCT referral form is essential — for both clinical clarity and patient care.
So, what should you include in a CBCT referral, and how can digital forms help streamline the process?
Why CBCT referrals require clarity
Unlike standard 2D radiographs, CBCT scans provide detailed 3D imaging of dental and maxillofacial structures. That level of detail comes with responsibility — clinicians need to justify why a scan is being requested, and radiologists need to know exactly what they’re looking for.
A vague or incomplete referral not only delays the process, but may also result in an unnecessary or improperly scoped scan, which isn’t in the patient’s best interest.
What to include in a CBCT referral form
A well-prepared CBCT referral should include:
- Patient details – full name, date of birth, and contact information
- Referring practitioner’s details – name, GDC number, practice info
- Clinical justification – a clear explanation of why the scan is required
- Area of interest – specify the exact region to be scanned (e.g. UR6-UR8)
- Type of scan requested – full arch, sectional, or focused field
- Request for report – indicate whether a radiology report is required
- Attachments – any supporting radiographs, notes, or treatment plans
A structured form ensures this information is gathered consistently, reducing the risk of delays or miscommunication.
Avoiding common referral issues
Many practices still rely on printed or editable PDF forms that are emailed or posted. These can be prone to errors, missing fields, and — importantly — data protection risks.
We often hear from radiology providers who receive:
- Incomplete forms with no clinical justification
- Unclear scan areas (“check upper right molars” isn’t precise enough)
- No indication of whether a report is needed
- Forms sent by unsecured email, breaching GDPR compliance
The solution? A digital, secure, and structured CBCT referral form.
How digital forms improve the CBCT referral process
Digital CBCT referral forms — like those powered by Valident — guide the referring dentist through a standardised process, ensuring all essential fields are completed before submission.
Benefits include:
- Clear instructions for referrers
- Secure file upload for attachments
- Encryption and compliance with GDPR
- Instant delivery to the receiving clinician or imaging centre
- No printing, scanning or emailing required
Practices that use a secure digital platform find that referrals are processed faster, patients are seen sooner, and there are fewer follow-up requests for missing information.
Valident and CBCT referrals
Valident offers a dedicated CBCT referral form that can be customised to suit your preferred imaging provider. Whether you scan in-house or refer to an external radiology centre, our secure online forms ensure you capture the right information every time.

Referrals are the backbone of many dental practices — whether you’re offering endodontic treatment, orthodontics, CBCT scanning, or specialist services. But referrals don’t just happen. Like anything in business, they need to be earned, encouraged, and made easy.
If your referral numbers could be better (or more consistent), here are five practical ways to help increase them — and keep referrers coming back.
1. Make it easy to refer
The number one reason practices don’t send referrals? It’s too much hassle.
If your referral process involves downloading a form, printing it out, handwriting details, scanning it back in, and emailing it with attachments… it’s probably being avoided.
A simple, secure digital referral form removes barriers. It means a dentist or team member can refer a patient in under a minute, from any device. The easier it is to refer, the more likely it is to happen.
Tip: A system like Valident allows referring practices to submit structured forms securely, attach documents and radiographs, and get confirmation — all from one link.
2. Build strong relationships with local practices
Good relationships build trust — and trust builds referrals.
Make time to connect with referring practices. Share updates, ask for feedback, and make it clear that you value the relationship. A quick phone call to thank someone for a referral, or a short follow-up email with an outcome, can go a long way.
If practices know that their patients are being well looked after, they’ll keep referring.
3. Be responsive, clear and consistent
How quickly do you respond to referrals? Do referring dentists know what to expect? Consistency builds confidence.
A structured dental referral system can help ensure:
- Referrals don’t get lost or overlooked
- Responses are sent promptly
- Patients are booked in without delay
- Information is recorded and easy to access
Practices are more likely to refer to you if they know you’ll handle it professionally, every time.
4. Promote your referral offering clearly
Don’t assume other practices know what you offer. If you accept CBCT referrals, make that clear on your website. Offer endodontic or orthodontic assessments? Say so — and make sure the process for referring is obvious and straightforward.
Include:
- A dedicated page for each type of referral
- Clear guidance on how to refer
- A secure link to your referral form
- Contact details for follow-up questions
You can also include downloadable resources or brochures to make life even easier for referring practices.
5. Provide feedback and updates
Referring dentists appreciate knowing what’s happened with their patient. A short message to confirm that treatment is complete — or a note to request more details — helps keep the communication open.
Better still, a digital system can log all messages and updates securely, keeping a clear record of the referral journey.

A clear, well-structured dental referral form is the first step towards a smooth referral process — both for the patient and for the clinicians involved. Whether you’re referring for a CBCT scan, endodontic treatment, orthodontics, or something more general, the information you provide directly impacts the quality and speed of care.
Yet, we still see referrals arriving incomplete, unclear, or poorly formatted — often leading to delays, unnecessary follow-up calls, and frustration on all sides.
So what should a good referral form include?
Core details every dental referral form needs
Regardless of the referral type, certain pieces of information are essential:
- Patient details – full name, date of birth, and contact information
- Referring practitioner – name, GDC number, and practice contact details
- Clinical reason for referral – what the patient is being referred for, and any relevant background
- Medical history – any known issues that could affect diagnosis or treatment
- Attachments – recent radiographs or x-rays, photographs, or relevant clinical notes
Missing any of these can delay the referral process unnecessarily. For the receiving clinician, context is everything — and the more clearly that context is provided, the better the outcome for the patient.
Additional considerations by referral type
Depending on the referral, there may be extra information needed:
- CBCT referrals should include the specific area to be scanned, justification for the scan, and whether a report is required.
- Endodontic referrals benefit from a full description of symptoms, previous treatment history, and recent radiographs.
- Orthodontic referrals should include the patient’s age, relevant clinical observations, and any previous orthodontic treatment.
Using a one-size-fits-all form often leads to oversights. A tailored form, built for the specific referral type, reduces the chance of errors and unnecessary follow-up.
The role of digital forms in streamlining referrals
Many practices are still relying on downloadable PDFs, email attachments, or even paper forms — systems that are inefficient, prone to error, and risky from a data protection perspective.
Modern digital referral forms solve these issues:
- Structured input ensures all required fields are completed
- Smart validation prevents submission without key information
- Secure submission protects sensitive patient data through encryption
Valident’s referral system is designed with these principles in mind. Our platform makes it easy to complete and submit tailored referral forms online — securely and efficiently.
Built-in encryption and data security
When patient data is involved, security isn’t optional. Email may feel convenient, but it’s not always compliant — and certainly not encrypted by default.
Every referral submitted through Valident is encrypted end-to-end. That means the data is protected from the moment it leaves your practice, right through to its destination. It’s a simple way to reduce risk and meet your obligations under data protection legislation.
Why it matters
A well-designed referral form does more than just gather information. It:
- Reduces time spent chasing missing details
- Improves communication between practices
- Ensures faster, more effective care for patients
- Enhances your practice’s professionalism and reliability
And with the right tools in place, it’s one less thing for your team to worry about.
Thinking of upgrading your referral process?
Valident provides encrypted, digital dental referral forms for CBCT, endodontics, orthodontics, and more — all built to suit the needs of modern dental practices. We also support custom form creation if your practice requires something more specific.
In the fast-paced environment of modern dental practice, time is valuable — and so is trust. When a patient is referred to another clinician, the process should be seamless, secure, and efficient. Unfortunately, in many cases, it isn’t.
Traditional referral methods — paper forms, scanned documents, or unsecured emails — are not only time-consuming but also risk compromising patient data. That’s where secure digital dental referral forms come into their own.
Saving time with structured digital forms
One of the biggest advantages of digital referrals is speed.
Rather than printing, scanning, or manually chasing missing information, digital referral forms can be completed quickly online using structured fields and built-in validation. This reduces the likelihood of incomplete submissions and cuts down on admin time for both referring and receiving practices.
Digital forms allow you to:
- Pre-fill details for regular patients
- Upload attachments directly (e.g. radiographs, clinical notes)
- Instantly submit referrals to the correct recipient
- Receive confirmation and status updates
It’s a straightforward change that can free up hours each week — particularly for practices with high referral volumes.
Improving accuracy and communication
Referrals rely on clarity. A secure digital form can guide users through the right fields depending on the type of referral, whether it’s CBCT, endodontics, orthodontics, or general treatment. This ensures the receiving clinician has everything they need the first time around, helping avoid delays and follow-up calls.
It also means fewer miscommunications. With structured data, typed notes, and secure messaging options, there’s far less chance of important details being lost, misread, or forgotten.
Keeping patient data safe
Data protection isn’t just a nice-to-have — it’s a legal and ethical responsibility. Sending referrals by email or post can expose sensitive information to unnecessary risk, particularly if attachments aren’t encrypted or the message is misdirected.
Valident’s referral system encrypts all submissions from end to end, ensuring that patient data is protected throughout the process. This doesn’t just protect your practice — it also helps maintain patient confidence in the care they’re receiving.
Better outcomes for patients
Ultimately, improving your referral process benefits your patients.
- Referrals are processed more quickly
- Information is more accurate
- Appointments can be scheduled sooner
- Fewer delays mean less stress for the patient
By moving to a secure digital system, you’re not only improving internal processes — you’re directly improving the patient experience, too.

We’re excited to share a powerful new feature available as part of your Valident Response system: Secure Messaging.
Valident Secure Messaging gives referring and receiving dentists a safer, simpler way to communicate directly about a specific patient referral. Whether it’s to clarify details, ask a question or share an update, you can now send and receive encrypted messages linked to a referral — all securely within the Valident platform.
Designed for clarity and compliance
Every message is tied to a specific referral, so conversations stay organised and easy to follow. Messages are fully encrypted and stored securely, helping you stay compliant while making communication easier for both sides.
Only the users involved in a referral can view or send messages related to it. Notifications are sent when new messages arrive, and messages are clearly marked as read or unread — so nothing gets missed.
Accessible from the dashboard
For referring dentists, messages appear directly in the Valident dashboard alongside your submitted referrals. You’ll see at a glance which referrals have received a reply and whether any new messages are waiting for you.
For receiving practices, the secure messaging system makes it easy to respond to referrers and track conversations in a clear, auditable way.
What you can expect:
-
Simple, secure communication between practices
-
Message threads shown alongside each referral
-
Visual alerts for unread messages
-
Email notifications when a new message is received
-
All messages encrypted and safely stored
-
Option to reply via the secure online platform
Valident Secure Messaging is available now and will be included in all active Valident Response accounts. No extra setup required — just log in and look out for the ‘Messages’ links next to your referrals.

We’re pleased to introduce the latest enhancement to your Valident system: the Referral Analytics Dashboard. A secure, user-friendly tool that gives you deeper insights into your referral activity, without ever compromising patient confidentiality.
Clear insights, better decisions
Our new analytics dashboard transforms the way you manage and understand your referrals. It brings together submission data and helpful visualisations to show exactly how your referral network is performing.
Whether you’re curious about which dentists refer most often, how submission rates are changing over time, or what treatments are most commonly requested – it’s all now available in one easy-to-navigate interface.
What you can do with it:
-
Track referral trends with clear graphs and filtering options
-
View and manage referrals from one place
-
Identify top referrers and practices over time
- NEW: Identity top treatments and record whether referral is NHS or Private
-
See submission patterns by treatment type or timeframe
-
Standardise names with intelligent name normalisation
-
Maintain full patient confidentiality at every step
Designed with security in mind
As with everything in Valident, privacy comes first. The dashboard only tracks metadata — not patient names or medical details — so you get useful insights while remaining fully compliant.
The name normalisation feature is particularly helpful for ensuring your data remains tidy and reliable. It automatically detects small variations in practice or dentist names (like “Dr Smith” vs “Dr J. Smith”) so your reports stay accurate.
Smarter referral management
The Referral Analytics Dashboard is more than just a reporting tool — it’s a step towards more informed, data-driven decision making for your practice. By understanding your referral patterns, you can build stronger relationships with partners and identify opportunities for growth.
This new feature is available now to all Valident users, and we’re offering a free trial for the next month. After that, it will just be a small addition to your monthly subscription fee. If you’d like a quick walk-through or want help exploring your data, just let us know – we’re happy to help.
